Subject:	Unified Contract Claim Submission Deadline for the 06-07 Contract Year

      This is to remind Unified Contract Services (UCS) Providers of the 90 day closeout period as stated in the Appendix C payment schedule for the 2006-2007 contract period which ended on December 31, 2007. VR370 Reports are due to the VESID District Offices and all Standard Vouchers are due to VESID Central Office no later than March 31, 2008 for the 2006-07 contract close-out.  It is imperative that contractors review the monthly utilization reports sent to them from VESID and work with your local District Office on any discrepancies during this 90 day period.  As indicated in Appendix C, late submissions will not be accepted.

      A final reconciliation payment will be made, if necessary, after the final 2006-2007 VESID UCS utilization report which will be released on or about May 1, 2008 and VESID review of final claims.  An additional signed voucher and a final VR370 Summary Report will be required for such payment. 

 

      Please note that contracts which have been utilized in excess of the maximum 2006-07 contract amount will need to have a contract amendment processed by VESID before such additional payment can be made.  This will be determined after final reconciliation and a review of final utilization data.

      VESID District Offices will need to be sure that all timely VR370 Report Data submitted by March 31, 2008 is entered on the mainframe no later than April 30, 2008 to ensure inclusion on the May 1, 2008 final utilization report. This will be the final regular distribution of the detail utilization reports for the 2006-2007 contract period.

      Also, payments for the 6th quarter (10/1/07-12/31/07) will be made after the VESID UCS utilization report is released on or about February 1, 2008.   VR370 Reports were due to VESID District Offices by January 15, 2008 for the 6th quarter 2006-07 payments which are scheduled to be made in February.
